Cancelling a project
The Owner can cancel a project that will not go ahead, a test project included. A cancelled project is never deleted: it stays readable, with its audit trail, under the Cancelled filter on Projects. A cancel cannot be undone.
1. Cancel a project
1. Open the project.
2. At the top of the project, select Cancel project.
3. Read what happens, and write why the project is cancelled. Everyone on the project reads this reason.
4. Select Cancel project to confirm, or Keep project to leave it as it is.
Only the Owner can cancel a project, and not once it is closed or suspended. The cancel, its reason and who made it are recorded on the project's audit trail, and everyone on the project is told, with the reason.
2. When a project cannot be cancelled yet
Select Cancel project and VisiPay lists everything that stands in the way, each with the tab where you deal with it. Nothing is changed until all of them are cleared:
Approved work on a pay application is not yet paid: pay it first, on the Pay Apps tab.
A dispute is open: resolve or withdraw it on the Disputes tab.
A transfer is still in process: wait for it to finish; it shows on the Funding tab.
A payment a bank sent back has not come back to the project yet, or support is reconciling a returned payment and the project is on hold: support resolves it, and you can cancel once it does. Both show on the Funding tab.
Retainage withheld from payees is still owed to them: retainage is paid out when closeout is finalized (Closeout tab), so that project is closed out rather than cancelled.
Cancel project is also off while a project is frozen or its operations are stopped.
3. Unspent funds go back to the Owner
When the only money left on the project is unspent funds, the confirmation states the amount and that it goes back to the Owner's bank. Cancelling starts that return of exactly that amount: if the amount changes before you confirm, VisiPay says the amount changed since you opened it and shows the new amount to review. VisiPay support releases the return and it is sent over the payment rail; the Owner reads its progress under Return unused funds at the top of the cancelled project.
If a payment to a payee comes back from the payee's bank after the cancel, it belongs to that payee: it was paid for approved work. The project goes on hold, and VisiPay support sends the payment again to the payee once the payee's bank is corrected. It is never sent to the Owner, and the Owner cannot pay it out.
If money that was the Owner's to begin with comes back after the cancel (a return to the Owner that the Owner's bank sent back), the project goes on hold too, and support sends it back to the Owner the same way when it clears the hold. Nothing that comes back stays on the project unheld.
4. A cancelled project
- It reads Cancelled, with the date it was cancelled and the Owner's reason at the top of the project.
- Its lifecycle stops for good: it has no next step, and no pay application, funding, change order, scope edit, new seat or invitation is taken on it. A cancel cannot be undone.
- Pay applications still pending or in review when it was cancelled are closed, and each submitter is told.
- Everyone on it can still open it, read every tab and its audit trail, and print it.
- It leaves your list on Projects. Select Show cancelled projects below the list, or choose Cancelled under Status, to see it. Back to active projects returns the list.
- On your Dashboard it counts on the Completed card.
