Annual fee statements
Your company's annual fee statement lists the VisiPay platform fees your company paid in one calendar year, as a PDF you can keep for your records. It is for the company's owner, who downloads it in Settings and is emailed when it is ready.
1. What the statement shows
- Your company's legal name, its name if it trades under another, its address and its VisiPay company ID.
- The total VisiPay platform fees your company paid in the year, and how many payments they were taken from.
- The fees by project, and each payment: its date, its project, its pay application or retainage release, and the fee taken from it.
- Each fee is the one VisiPay recorded when the payment was sent. Nothing on the statement is worked out again from a rate.
- During the year, the fees taken from your company's payments are on Reports, under Fees, by month and by project, for anyone at your company with a GC or Sub seat. Your Dashboard shows no fee figure.
2. What is counted, and what is not
- A payment to your company counts once the financial institution confirmed it, in the year of the day it was confirmed, Central time.
- A payment that came back to the project is not counted, and neither is its fee: the fee was reversed when the payment came back.
- The fee on money your company passed on to a supplier is part of your company's own fee on that payment, and is counted once.
- A payment sent before VisiPay recorded the fee on each payment has no fee on the statement. The statement says how many there were; write to support@visipay.io for those figures.
- Fees are taken from payments a company receives, so a company that only funds projects has no statement.
3. Downloading it
1. Open Settings and find Annual fee statements. Each year with a payment to your company shows the total, the number of payments, and how many payments have no recorded fee.
2. Choose Download PDF beside the year. The button shows it is working, then the page says Downloaded with the file's name. If it fails, the page says so and you can choose Download PDF again.
Only an active owner of the company sees the section and can download the statement. A year with no payment to your company has no statement, and the section says so until there is one. A year whose payments were all sent before VisiPay recorded the fee on each payment still has a statement: it shows those payments by number and no fee.
4. The email
Each January, VisiPay emails your company's owner when the statement for the year before is ready, and puts a notice under the bell. The email names the company and the year and no amount; the figures are in the PDF, behind your sign in.
The email is in the Money kind of email in Email notifications. Turning Money emails off stops it, and the statement is still in Settings.
5. It is not a tax form
The statement records the fees your company paid to VisiPay. It is not a tax form. Ask your accountant how to use it in your books.
