Getting started on VisiPay

VisiPay is invite only. If you have an invitation, this page walks through everything from opening it to working on your first project.

Before you start, have these ready:

  • Your company's legal name, exactly as it should appear on payment documents.
  • Your company's EIN.
  • Your business address.
  • A completed W-9 for your company, as a PDF or a photo (JPG, PNG or HEIC) under 10 MB.
  • For the bank account you will link: your online banking sign-in, or the routing and account numbers. If you use the numbers, you will need to see the account's activity to confirm two small deposits. Payments start once your company is approved.

1. Create your account

Your invitation link works once and lasts 14 days. You can register with the email address the invitation was sent to, or change it to another one. Another address gets a link to confirm it before your account opens, and we tell the address the invitation was sent to.

While your invitation is open, you may get a reminder email with a fresh link to the same invitation. The link in your first email still works too, and the invitation still ends on the same day.

One person holds the owner account for your company, so the person who registers should be the one who will manage payments. An email address already tied to another company cannot be used.

You will be asked for your first name, your last name and a password of at least 8 characters, your company name, your legal entity name, your EIN and your business address, and to accept the Terms of Use and Privacy Policy.

When you finish, you are signed in and your company is waiting for review.

2. Upload your W-9

Upload your own completed W-9 as a PDF or a photo (JPG, PNG or HEIC), up to 10 MB. The W-9 box shows the EIN you registered with, so you do not enter it again.

While your company is waiting for review, only its owner or an admin can upload the W-9.

We cannot approve your company without a W-9 on file. The page updates itself once we have it, so there is nothing else to send.

3. We review and approve

We review new companies. If you need to change your W-9 before you are approved, email support@visipay.io. You can create and set up projects while you wait. Moving money opens up after approval.

If we need changes, we send your registration back with the reason, by email and a notice in the app. Your company stays pending. The company's owner or an admin makes the changes in Settings, then chooses Resubmit for review.

You will get an email and a notice in the app when your company is approved.

4. Link a bank account

There are two kinds of bank account on VisiPay, and you may need one or both.

A deposit account is where money you are paid arrives. It belongs to the person who links it.

A funding account is where money you put into a project comes from. It belongs to the company, and owners and admins manage it.

You can link an account two ways. Signing in to your bank verifies it in one step. Entering your routing and account numbers instead sends two small deposits, each under one dollar; when they arrive, you enter those amounts to finish.

5. Your first project

Companies on VisiPay do not have a fixed type. What you do is decided project by project, so the same company can fund one project and be paid on another.

If you are funding a project, you create it, bring in the other companies, and agree the scope with them. Once the scope is locked, you fund the project from your funding account.

If you are being paid on a project, the company running it adds you. Work is billed through pay applications, which are reviewed and approved line by line, and approved lines are paid out to your deposit account. To be paid, you need a W-9 on file and a verified deposit account.

VisiPay's fee is taken from each payment you receive. Fractions of a cent round up to the next cent.
