The money dials on your Dashboard

Under the status cards on your Dashboard is a row of money dials, one row for each kind of seat you hold. Each dial is a ring showing a share of a whole, with the dollar figure in its center and one short line under it. Select any dial to open the report that proves it: every row that makes up the figure, with a total that matches the dial to the cent.

1. Reading a dial

  • The figure in the center is the money the dial counts. The ring shows that figure as a share of the whole named in the line under it.
  • Every figure is read when you open the page, from the same records your project pages use. Only settled money counts as funded, paid out or received: a payment still on its way is not counted until the financial institution confirms it.
  • The dials read again on their own while the page is open: when you come back to the window, after you approve, pay or change anything that moves money, and every minute. Under the project picker it says Updated just now, or how many minutes ago it last read.
  • Project: choose All your projects for a total across every project where you hold that seat, or one project to see only it.
  • The dials show no VisiPay fee. The fees taken from your company's payments are on Reports, under Fees, and each payment's own fee is a small line on its pay application.

2. Amber and red

  • A dial turns amber or red only when something is actually stopping money, and the line under it says what.
  • Red: A dispute is holding a line. The pay application waits until the dispute is closed.
  • Amber: A payment came back and is on hold. The payee's bank sent it back and VisiPay support is working on it.
  • Amber: Payments are on hold on a project. The project is frozen, under a stop work notice, or on hold for reconciliation.
  • Amber: A lien waiver is waiting for its signature. The payment goes out once the payee signs.
  • Amber: A supplier invoice part is not on a line. Assign it on the project's Supplier Invoices tab.
  • A dial with nothing stopping it stays blue, however large or small its figure.

3. The Owner's dials

  • Funded: your settled funding deposits, as a share of the locked contract value, with what is left to fund.
  • Paid out: the payments made from the project to your GC, at the amounts your Funding tab shows, as a share of what you funded. A payment that came back stays in this figure until its money is back, as it does on your Funding tab, and the dial turns amber.
  • Waiting on your approval: the pay applications and change orders that need you, at the amounts you approve them at.
  • Retainage withheld: the retainage still withheld on each project until closeout, with what has been released. It shows one figure per project.

4. The GC's dials

  • Billed: the pay applications that reached the Owner, at your price to the Owner, as a share of your contract value.
  • Received: every payment the financial institution confirmed on your projects, as a share of what you billed. Your own payments read at their full amount before the fee. A payment to a Sub reads at what was sent to it, as your Funding tab shows it, with any supplier the Sub paid from its share counted in the Sub's row.
  • In the pipeline: what you billed and has not settled yet, split by where it is: With the Owner, Approved, or Releasing (sent and not yet confirmed). Before anything is sent it is the amount billed, less the retainage withheld on it. Once a payment on it is sent, it is each line not yet sent and each payment still on its way, as your Funding tab shows them.
  • Retainage withheld from you: the retainage withheld from your own company until closeout, with what has been released to you.
  • Retainage you hold from Subs: the retainage withheld from each of your Subs until closeout, by Sub, with what has been released to them.

5. The Sub's dials

  • Billed: your own pay applications and your own lines, at your own price, as a share of your contract value.
  • Received: the payments the financial institution confirmed to your own company, at the full amount before the fee, and what it sent to your suppliers from your share, as a share of what you billed.
  • In the pipeline: what you billed and has not settled yet, less your retainage, split by where it is: With the GC, With the Owner, Approved, or Releasing.
  • Retainage withheld from you: your own retainage still withheld until closeout, with what has been released to you.
  • Suppliers not assigned: your supplier invoice parts that are on no scope line yet. Assign each one on the project's Supplier Invoices tab.
  • Your dials and reports show only your own company: never the GC's price, and never another Sub.

6. A bank's dials

  • A bank with read only access to a project sees two dials, Funded and Paid out, as percentages of the locked contract value.
  • Its reports list each project's percentage and how many deposits or payments make it up. A bank never sees a dollar amount.
  • On a bank's report, Download CSV saves the rows and Print opens your browser's print window, where you can save the page as a PDF.

7. The report behind a dial

  • The total at the top is the dial's figure.
  • Each row is one record that makes up the figure: the project, the pay application, the lines, the company paid where your seat may see it, the date, the amount, the running total, and the settlement and lien waiver references. Select a row's project or pay application to open it.
  • Total of the rows shown, at the bottom, is added up from the rows on the page. With no dates or stage chosen it matches the dial to the cent.
  • From and To: choose dates to see only rows dated in that range. Both days are included. The date is the day the money settled, or the day a pay application was submitted.
  • Project: choose one project or All your projects. Stage, on In the pipeline, shows one stage: choose Every stage to see them all.
  • Sort: choose how the rows are ordered. Filter rows, once there are more than 20, finds rows by project, pay application, line or company.
  • By company, on the GC's reports, adds up the rows for each company paid.
  • Download CSV and Download PDF save the rows shown, with their total.
  • Back to Dashboard returns you to the dials.
