Email notifications

VisiPay emails you when something on your projects needs you or has happened. In Settings, under Email notifications, you choose which kinds of email you get, and which teammates at your company get a copy. Notices inside VisiPay, under the bell, are always on.

1. The six kinds of email

  • Money: Funding received, payments released, top ups owed, banks added to or removed from a project, and your company's annual fee statement.
  • Approvals: Pay applications, schedules of values, change orders and buyout lines submitted, approved, sent back or locked, scope notices raised and answered, and reminders when it is your turn.
  • Disputes: Disputes raised, answered and resolved.
  • Compliance and documents: Lien waivers owed or received, documents added to a project, and insurance certificates about to expire.
  • Invitations: People added to a project or invited to one, and teammates who joined your company.
  • Account and system: Project status changes, new messages, and changes to your company's members.

2. Turning a kind of email off or on

1. Open Settings and choose Choose your emails under Email notifications.

2. Each kind of email has an Email me box. Untick it to stop those emails; tick it to start them again. The page says Saving, then whether the emails are on or off.

Every kind starts on. Turning one off stops only the email: the notice still appears in VisiPay under the bell. Each change is recorded on your account's audit record.

3. Emails you cannot turn off

  • A payment the bank returned.
  • Money returned from a project: settled, returned by the bank, or withdrawn.
  • A change to the VisiPay fee rate on a project before it locks.
  • Funding a payment waits on.
  • A dispute that holds a payment.
  • A lien waiver your payment waits on.
  • Your company's registration approved, declined or sent back for changes.
  • A change to who owns your company, a member leaving or taking over seats, and a VisiPay staff role given, changed or removed.
  • Sign in and security emails: a password reset, a sign in email change, a sign in code, and an AI connected to your account.
  • An invitation sent to your email address, and a lien waiver sent to you to sign.

4. Giving a teammate a copy

1. Under the kind of email, find Teammates who get a copy.

2. In Add a teammate, choose a person and choose Add. The list shows only the active members of your own company.

3. From then on, each email of that kind you are sent also goes to them, marked Copy, with a first line naming you. They get copies even if you turned that kind off for yourself.

A copy is your own email, word for word, so a teammate reads only what you can see. Copies never go to another company's people, and they stop when either of you leaves the company. Changes to your own seats and company role are never copied.

If you belong to more than one company, VisiPay sends no copies, and the page says so: an email does not say which company it is for. Your own emails are not affected.

5. Removing a teammate from your copies

1. Under Teammates who get a copy, choose Remove beside the person.

2. Choose Remove again to confirm, or Keep to leave them on. They stop getting copies from then on, and the removal is recorded on your account's audit record. You can add them again at any time.

6. Every notice: the bell and the Notifications page

The bell at the top of every page shows your latest 10 notices and a count of the unread ones. Opening it marks the notices it shows as read. While they load it says Loading notifications; if they cannot be loaded it says so, with Try again.

Choose See all notifications, under the bell or under Recent Notifications on your Dashboard, to open the Notifications page. It holds every notice you were sent, 25 to a page, with Previous and Next.

Search finds words in a notice's title and text. Read or unread shows only one or the other, and Kind shows one of the six kinds above. Order puts the newest or the oldest first. Clear takes the search and filters off.

Open goes to what the notice is about and marks it read. Mark read and Mark unread change one notice; Mark all read clears the count on the bell. Notices are never deleted.
