The project timeline

Every project on VisiPay moves through the same 13 steps. Tap a step to see what it means, who acts and what moves it on. Choose your role to see your part.

The pay app loop

Active is where the work is billed. Each pay application goes round the same loop: it is submitted, the Owner reviews it line by line, approved lines are paid, and the project is back at Active for the next one.

A question on one line holds that line only. The rest of the pay application keeps moving.

After the final pay application, the GC submits completion. The project then moves through Completion submitted, In review, Approved, Release authorized and Paid one last time, and on to Closing out.

Approving the work or requesting changes

At In review, the Owner seat decides on the completed work from the banner on the project page.

For the Owner

  1. Open the project. At In review the banner shows Approve and Request changes.
  2. To accept the work, choose Approve, then choose Approve again to confirm. The project moves to Approved, and you authorize the final release from there.
  3. To send the work back, choose Request changes, write what needs to change under What needs to change, then choose Request changes again. The project moves to Disputed.

For the GC

  1. At Disputed, the banner on the project page shows The Owner requested changes, with the Owner's reason under it.
  2. Make the changes, then choose Resubmit for review. The project goes back to In review, and the Owner reviews it again.

Only the Owner seat and the GC seat see the reason. A Sub does not.

When there is no General Contractor yet

The next step waits on a General Contractor only when one is on the project. Until then, the Owner's banner says what to do.

  • No GC invited: the banner reads Next step: invite your General Contractor. They price the scope and send it to you. Choose Invite a GC to open the invite form on the Participants tab.
  • A GC invited: the banner reads Waiting on your GC to accept the invitation, with the date it was sent. Choose Resend invitation to send it again from the Participants tab.
  • Your company is also the GC: the banner reads Price the scope as GC, and the Scope tab is yours to price and submit. When every line is priced, choose Submit SOQ for Approval, then Accept Proposal to lock the scope. To change a line after you submit, choose Back to Draft.

Our company is also the GC

If you missed My company is also the General Contractor when you created the project, the Owner seat can turn Our company is also the GC on or off from the Overview or the Participants tab while the project is a draft.

It cannot change once money has been funded or scope has been priced, or while another company holds or is invited to the GC seat. To turn it off, no Sub or other company can be on the project, and no one in your company can hold or be invited to the GC seat. The box says why when it cannot change.
