Reports: by contractor, transactions and retainage

Reports, in the menu, sums up the money on your projects. Project Status, Payment Summary and Recent Activity are as before. By contractor, Transactions and Retainage add each company's figures, a dated list with a running total, and the retainage withheld from each party. Fees lists the VisiPay fee taken from each payment to your company, by month and by project. Transactions lists settled money only: payments the financial institution confirmed. Each By contractor column is one money dial's own figure, from the same records as the dials on your Dashboard, so Billed, In the pipeline and Waiting on your approval include money not yet paid. Every figure is read when you open the page, and every date is Central time.

1. The filters

  • Seat: if you hold more than one kind of seat (for example Owner on one project and GC on another), choose which seat's figures to read. Each seat reads only what that seat may see.
  • Project: choose All your projects for every project where you hold that seat, or one project to see only it.
  • From and To: choose dates to see only money dated in that range. Both days are included. The date is the day the money settled, or the day a pay application was submitted. Leave them empty for every date.
  • Every date on Reports, and in its CSV and PDF files, is Central time.
  • Clear dates empties From and To. A start date after the end date is refused, and the page says so.

2. By contractor

  • One row per company, with a column for each figure, and a total row at the bottom that adds up the rows. Two companies that share a name are two rows.
  • Each column is that money dial's own figure for the dates: Paid out and Received are settled money; Billed, In the pipeline, Waiting on your approval and Retainage withheld are not settled money: they include money not paid yet.
  • Owner: Paid out and Waiting on your approval, by the company you pay, your GC. You never see a Sub's figures. A change order waiting on you is under Not tied to one company, and a GC whose company has no name on file reads Your GC, no company name on file.
  • GC: Billed and In the pipeline for your own company, and Received and Retainage withheld for your own company and each of your Subs, as your Funding tab shows them. A company with no name on file reads No company name on file.
  • Sub: your own company only, never the GC or another Sub.
  • Sort orders the rows by company or by the largest figure. Filter companies, once there are more than 20, finds a company by name.

3. Transactions and the running total

  • A dated list of every settled payment, oldest first, with a running total after each row.
  • Owner: your funding deposits come in and the payments out go out, so the running total is what you funded less what was paid out.
  • GC and Sub: each payment received counts in, and the running total is what was received to date.
  • With a From date, the first line carries in the total of every row before that date, so each row's running total is the true figure on that day.
  • Money still on its way is not listed until the financial institution confirms it.

4. Retainage by party

  • The retainage withheld today and what has been released, for every date. The date range does not narrow it.
  • Owner: one figure per project for all payees together.
  • GC: each company retainage is withheld from, your own and each Sub's, per project.
  • Sub: your own company's retainage, per project.
  • The same list is on each project's Closeout tab, under Retainage by party, for that project only.

5. Fees

  • The VisiPay fee taken from each payment to your company that the financial institution confirmed, by month and by project, then each payment with its fee.
  • With no dates chosen it shows this year, from January 1. Choose From and To to read another period.
  • GC and Sub: your own company's fees only, never another company's.
  • Owner: you pay no VisiPay fee. It is taken from each payment to a payee, never from your funding.
  • Your Dashboard shows no fee figure. Each payment's own fee is the small line under its net on the pay application: Gross, less VisiPay fee, net.
  • For a whole year as one PDF, your company's owner downloads the annual fee statement under Annual fee statements in Settings.

6. Downloads

  • Download CSV and Download PDF, on each of these tabs, save that tab's rows for the filters shown, with their totals.
  • Each row's project name opens the project. A pay application number opens the pay application.
