Scope notices
A Sub flags a scope line that does not match its work, or a line that is missing, and the GC answers it. A scope notice never changes the scope and holds no money. Only the Sub that raised it and the GC see it; the Owner does not.
1. Flag a scope line, as a Sub
1. Open the project and choose the Scope tab.
2. Under Scope notices, choose Flag a scope line.
3. Under What does not match, choose Quantity, Unit, Description or Missing line.
4. Unless the line is missing, choose the Scope line. The dialog shows what the line reads now.
5. Under What your work shows, write what it should read, if you know it. This is optional.
6. Write a Note that says what does not match, and choose Send to the GC.
You can flag only the lines assigned to you. You can have one open notice of each kind on a line. The GC is told, and the notice reads Waiting on the GC until the GC answers. To hold the line's money instead, raise a dispute.
2. Edit or withdraw your notice
While a notice reads Waiting on the GC, choose Edit to change it, then Save changes.
Or choose Withdraw, then Withdraw notice. A withdrawn notice stays on record as Withdrawn, the GC is told, and it cannot be reopened. To raise it again, flag the line again.
Once the GC answers, the notice can no longer be edited or withdrawn.
3. Answer a notice, as the GC
When a Sub flags a line, you are told, and Action Required on your Dashboard says a scope notice needs your answer. Choose the project in that item; the Scope notices section is on the Scope tab.
1. Choose Accept, add a note to the Sub if you like, and choose Accept notice. Accepting does not change the scope: edit the line on the Scope tab as usual, or raise a change order where the change needs one.
2. Or choose Explain, write why the line stands as written, and choose Send explanation.
Either answer closes the notice, tells the Sub and clears the item from Action Required.
4. Finding a notice
- Each notice reads Waiting on the GC, Accepted, Explained or Withdrawn, with the line, the note, what the work shows and the GC's answer.
- Under Show, choose a status to see only those notices. Under Sort, choose Waiting first, Newest first or Oldest first.
- Once there are more than 20 notices, Search notices finds a word in a note, a line, an answer or a company name.
5. Who sees a notice
- The Sub that raised it and the GC read it, on the Scope tab and on the project's audit trail.
- The Owner, an inspector, a lender and other Subs never read it.
- Every flag, edit, withdrawal and answer is recorded on the project's audit trail.
