Settings: your profile, team and banks

Settings holds your own profile and sign in, your company's team, the bank accounts your company is paid into and funds from, its W-9, and requests to invite other companies. Every change that touches money, a seat or a person asks you to confirm first, says what will happen, and is recorded on the audit trail.

1. Your profile

Choose Edit Profile to change your first name, last name or phone, then Save Changes, or Cancel to leave it as it was. The page says Profile saved when it is done.

A phone number needs its area code, for example (555) 555-0123. To remove your phone number, empty the field and choose Save Changes. If a save is refused, what you typed stays on the screen with the reason.

2. Your company's profile

Your company's owner chooses Edit on the Team card to change the display name, address, phone and primary contact, then Save Profile.

The state is its 2 letter code, for example MO. The ZIP is 5 digits or ZIP+4. The phone needs its area code, or can be left empty. A refused save keeps every field as typed and says which one to fix.

The legal name is changed apart, under Change legal name, and re-opens verification. The EIN cannot be changed here.

3. Roles on your team

  • Owner: the one person who owns the company on VisiPay. The owner seat is handed over by VisiPay support, not changed on this page.
  • Admin: manages the company's funding bank, asks VisiPay to invite other companies, and removes members who hold no project seat.
  • Member: works on the projects they are added to. Cannot see the funding bank.
  • Reviewer: today has the same access as a member.

4. Changing a member's role

1. Your company's owner chooses Change role on the member's row in the Team card.

2. Choose the new role, then Save role. The page says what the role can do and asks you to confirm.

3. Choose Save role again to change it, or Keep role to leave it. The change takes effect at once and is recorded on the audit trail. The owner's own row has no Change role.

5. Removing or deactivating a member

Remove: your company's owner or an admin chooses Remove on a member's row, then Remove from company to confirm, or Keep. They lose access to your company at once. Their account and everything they did stay on the record; nothing is deleted. Nobody removes the owner or themself.

A member who holds a seat on a project is not removed this way, because the seat would be left with nobody. The page says so, and the owner uses Deactivate a member instead.

Deactivate a member: the owner chooses the member leaving and, if they hold seats, a successor from the company, then Deactivate. The page asks you to confirm, with an optional reason, and you choose Deactivate again or Keep them. The successor must accept before anything moves.

Waiting on a successor: the owner can choose Withdraw on a deactivation that is still waiting, give an optional reason and confirm with Withdraw, or choose Keep waiting. Nothing moves and both people are told.

If you are named the successor, Seats waiting for you shows Accept and Decline. Accept asks you to confirm with Accept and take over: every pay application, approval, change order and dispute on those seats becomes yours. Decline asks you to confirm; nothing moves. Not now closes the question.

6. Inviting teammates

Your company's owner types an email address under Invite a teammate and chooses Send Invitation. The list under Invitations shows each one with its state.

To cancel a pending invitation, choose Revoke, then Revoke again to confirm, or Keep it. The link stops working at once, and you can invite the address again later.

7. Changing a deposit or funding bank

Choose Change bank account under Deposit Bank, or Change funding bank under Funding Bank. The page says what will happen and asks you to choose Continue or Keep this bank.

After Continue, choose a way to add the new account. Signing in to your bank replaces the old account when you finish signing in. Entering the details by hand asks once more before the test deposits go, because sending them replaces the verified account at once; the new one shows Verifying until you enter the two amounts. VisiPay starts no new payment to or from either account until the new one is verified. A transfer already on its way finishes to the account it was sent to.

Until you finish one of those steps, Cancel keeps the bank you have.

Only your company's owner and admins see and change the funding bank.

8. After a funding bank change

A new funding bank, whether you sign in to your bank or enter it by hand, starts with automatic debits off. Once it is verified, an owner or admin chooses Authorize automatic debits under Funding Bank before VisiPay starts any automatic debit from it again.

Revoke authorization, under Funding Bank, turns automatic debits off for that bank. Choose Revoke to confirm, or Keep it. It is recorded on the audit trail, funding already sent is not affected, and you can authorize again at any time.

Funding a project yourself with Fund does not depend on this: each funding asks you to confirm that one transfer.

9. Payment Compliance

The Payment Compliance card shows whether your company's W-9 is on file. If the status cannot be loaded, the card says so and offers Try again; nothing was changed.

10. Asking VisiPay to invite another company

An owner or admin fills in the contact name, contact email and company name under Invite another company and chooses Send request. VisiPay support reviews it and sends the invitation.

Companies you asked us to invite lists each request with its state. While a request is Waiting for VisiPay review, choose Withdraw request, then Withdraw to confirm, or Keep it. Once an invitation has been sent, VisiPay support withdraws it on request.

Once the list is longer than 20, a search box finds a company by name or email. The team list has the same search.

11. Storage used

Your company's owner sees Storage used: X of Y in Settings. X is what your company keeps on VisiPay: the W-9s, certificates of insurance (COIs) and certified payrolls it uploaded and the contract pages it kept. Y is your company's storage allowance. Sizes are in MB, where 1 MB is 1,048,576 bytes.

A file is counted once, on the company that uploaded it. A contract you upload to read is not counted while it is being read; only the pages you keep are. Uploads are never refused for storage, and nothing you store is removed: past the allowance, the line simply reads more than Y.
