Paying your suppliers

A GC or a Sub can have VisiPay pay a supplier's invoice straight to the supplier's own bank, in the same payment the Owner sends for a pay application. The supplier's part comes out of your share of the lines the invoice is for, so you are paid that much less, and the supplier is paid its whole invoice.

1. Link your supplier (GC or Sub)

1. Ask your supplier for its VisiPay company ID. The supplier finds it on its Supplier Payments page.

2. Open the project and choose the Supplier Invoices tab.

3. Under Paying your suppliers, find the supplier, type its ID in The supplier's VisiPay company ID, and choose Ask the supplier to link.

4. The supplier accepts on its own Supplier Payments page. VisiPay support then checks that the supplier's legal name matches its W-9 and its bank account.

2. Pay a supplier invoice from a pay application

1. Log the invoice on the Supplier Invoices tab and assign each part to its scope line. Clear or override every flag.

2. When the supplier reads ready to be paid, choose the pay application under Pay an invoice, then choose Pay from this pay application.

3. The supplier is paid straight to its own bank in the Owner's next payment for that pay application, and you are paid that much less.

4. Until that payment is sent, you can choose Withdraw.

Each part must fit your own share of its line on that pay application, and you must still be paid something after the VisiPay fee. You pay the VisiPay fee on your whole share, the supplier's part included; the supplier is never charged a fee. Each supplier payment is one payment, under the same per payment limit as every other payment.

You see only your own company's suppliers. The GC never sees a Sub's suppliers.

3. If you are the supplier

1. Register your company on VisiPay, upload your W-9 and link your deposit bank in Settings, the same way a Sub does.

2. Open Supplier Payments to find your VisiPay company ID, and give it to your customer.

3. When your customer's request shows under Link requests, read the supplier agreement and choose Accept the agreement and the link, or Decline.

4. Under Payments to you, each payment shows the invoice number it pays, your customer's company name, the project's VisiPay ID, the amount and whether it is sent or paid. The same invoice number is on the bank deposit.

Your company's owner or admin can name a different member of your company to be paid. The change reaches every payment to you not yet sent, and a payment that came back and is on hold with VisiPay support, which is sent to the new person once support releases the hold. It does not reach a payment already sent or being sent at that moment: that payment keeps the person it was sent to. VisiPay support checks the new person's bank before they are paid.

4. What the Owner sees

  • The contractor's payment as one figure, the same figure as if no supplier were paid.
  • Never a supplier's name or a supplier's amount.
  • Where a supplier signs its own lien waiver, that the waiver exists and its state, as with a Sub's waiver.
  • A lender on the project sees what the Owner sees.

5. If a supplier payment comes back

  • It is put on hold with VisiPay support, and the supplier and the contractor are both told.
  • It is never sent again on its own. The supplier links a working deposit account in Settings, support checks it, and only then is the hold released.
  • Once the hold is released, the Owner sends it with the next payment on that pay application. Nobody is paid twice.
  • A payment that came back never counts as paid and never makes a lien waiver unconditional.

6. Before any supplier can be paid

VisiPay publishes a supplier agreement that each supplier accepts. Until it is published, no supplier link can be accepted and no supplier can be paid.
